This privacy policy describes how Lower Mountains Junior Rugby League Club (“we”, “us”, “the club”) handles information in connection with the Club Portal website and related club-operated services.
Who this applies to
Players, parents, guardians, volunteers, staff, and other users who access the portal or interact with club systems described below.
Information we collect
Depending on how you use the portal, we may collect or process:
- Account details — for example, email address and authentication identifiers when you sign in (including when you use Google sign-in).
- Profile and club data — names, team assignments, roles, contact details, and other information you or authorised club administrators enter or import for club operations.
- Content you provide — such as survey responses, messages or uploads where those features are enabled.
- Technical data — basic device/browser information and security logs needed to run and protect the service.
How we use information
We use this information to operate the club portal, manage teams and registration-related records, communicate about club activities where appropriate, improve reliability and security, and meet reasonable legal or sporting-body requirements.
Where data is stored and processed
The portal uses Google Firebase services (including Authentication, Cloud Firestore, and Cloud Storage) provided by Google. Data may be processed on Google’s infrastructure in accordance with Google’s terms and privacy policies. We configure access so that only authorised users and club administrators can reach sensitive club data, consistent with our Firestore security rules.
Official registration data
From time to time, the club may import or reconcile member information from official rugby league registration systems (for example, exports provided to authorised club officials). That processing is done for legitimate club administration purposes and is limited to what is reasonably required.
Club email used for administration
Official reports or notifications sent to club-controlled email addresses may be processed by club-authorised automated tools solely to download and import registration-related files into club systems. That processing does not change how your portal account data is shown to other families; it supports accurate club records.
Cookies and local storage
The site may use browser storage and similar technologies needed for sign-in sessions and preferences. Third-party scripts loaded for fonts or UI libraries may follow their own policies.
Retention
We keep information only as long as needed for club operations, legal obligations, or legitimate administrative purposes. Specific retention may depend on the type of record (for example, historical club content).
Your choices
Where applicable, you may request access to or correction of personal information we hold by contacting the club. Some data is required to participate in club programs or use the portal safely.
Children
Junior sport involves information about minors. Parents or guardians should supervise portal use for young players and ensure details provided are accurate.
Changes
We may update this policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the portal after changes means you accept the updated policy.
Contact
For privacy questions, contact the club through the details published on the club’s official website or correspondence channels.
